Getting Client Data from Albridge Solutions (formerly Statement One) into Act4Advisors
 

Introduction:

Albridge Solutions (formerly Statement One) has fast become the leading force in portfolio consolidation, accounting and reporting for the financial services industry. By aggregating all client related account data, the registered rep can fully access a consolidation of these accounts to better service his client’s needs. Albridge Solutions eliminates the need for the advisor to purchase software, staff and download services. All of the work for maintaining the consolidated account information has been taken on by Albridge Solutions. As a result, the advisor saves time and resources that he can use to better serve his business.

Albridge Solutions has a feature allowing the exporting of basic client information for names, address and phone numbers. As a result, we have created a “How To” on exporting and importing this data into Act4Advisors.

Procedures:

To continue, you must have full access to your Albridge Solutions. Exporting data is relatively simple in Albridge Solutions. The data itself is exported as a text delimited file that is easily opened with Microsoft Excel. This data should be “cleaned up” before it is imported into Act4Advisors.

Act4Advisors includes all relevant fields including First Name and Last Name. But, since Act4Advisors does not have a Middle Initial field, you should combine the First Name, Middle Initial and Last Name together into one column in Excel. This will allow the full name to be imported into the Contact field in Act4Advisors. We will explain how to do this in this instruction guide.

Also, to assist in the importing, you will want to rename the headings for each data field to match the names used in Act4Advisors. This is not required but it does make the import and mapping much easier.

Required Tools:

1. Microsoft Word

2. Microsoft Excel

3. ACT! 5.03 or greater

4. Act4Advisors 1.5 or greater

What you will need to know:

1. In Excel, a Column goes up and down. A Row go left to right.

2. If you click on the letter heading for columns or number label for rows, you will highlight the entire column or row.

3. You can copy, cut, paste, delete or insert in Excel by Right Mouse Clicking on the highlighted area OR using the Edit Menu.

4. You can rename a file or change its type by click on File, Save As

5. BEFORE YOU IMPORT, YOU MUST CLOSE THE FILE TO BE IMPORTED.

Exporting Data from Albridge Solutions:

1. Logon to Albridge Solutions

2. On the Control Panel, Click on Advisor Reports

3. Pull down the menu and choose Master Client Information

4. Click on the Export button.

5. Name the file and Save it to your Desktop.

Manipulating the Data from Albridge Solutions:

1. Open the file on your desktop with Microsoft Excel. (Normally you will be able to open it by double clicking on it)

2. Rows 1 and 2 are not needed. Highlight Rows 1 and 2 and delete them

3. Highlight column D which should be the Address1 column

4. Right mouse click on the highlighted column and click on Insert (The columns should shift to the right and Address1 will move to E.)

5. Column D will now be blank.

6. Highlight the first column (Last Name) and click on Edit, Cut on the menu at the top.

7. Highlight the empty Column D and click on Edit, Paste

8. Click on File, Save As

9. Name the File and Save the File Type as Text (Tab Delimited)

Now, we will want to get all of the names into one field so we can import them into the Act4Advisors Contact field. To do this, copy and paste the First Name, Middle Initial and Last Name columns.

10. Highlight the First Name, Middle Initial and Last Name fields.

11. Click on Edit, Copy on the menu.

12. Open Microsoft Word and Click on Edit, Paste Special

13. Choose Unformatted Text

14. Now, Click on Edit, Select All

15. Click on Edit, Replace

16. In the Find what: area type in the carat symbol ^ and a lower case t The ^ is located at Shift 6

17. In the Replace with: hit your space bar one time.

18. Click on Replace All. A message will appear telling you how many changes were made. Click ok.

19. View the information to make sure there are spaces between the First, MI and Last Names

20. Now Click on Edit, Select All

21. Click on Edit, Copy

22. Click on the Excel program at the bottom of your screen. This will bring you back to the Excel file.

23. Click in cell A1

24. Click on Edit, Paste on the menu

25. Verify that the combined name matches the First Name and Last Name fields.

26. Change the name of cell A1 to: “Contact” without the quotes.

27. Highlight the Middle Initial column

28. Click on Edit, Delete. The cells will shift to the left.

29. Rename Address1 to Home Address 1

30. Rename Address2 to Home Address 2

31. Rename City to Home City

32. Rename State to Home State

33. Rename ZIP to Home ZIP

34. Rename Business to Phone

35. Rename Home Tel to Home Phone

36. Leave Fax alone

37. Rename Email to Email Address

38. Save the file and Close Excel.

39. Click Yes on the next dialog box that appears in Excel.

40. You may have to close Excel again. If so, click on NO to save the file again. (This is an Excel annoyance!)

Importing Data into Act4Advisors:

Importing the Albridge Solutions data into ACT! is relatively easy. An import wizard is available walking you through the process. Begin by logging into Act4Advisors as the user who the records belong to.

1. In ACT! click on File, Data Exchange, Import

2. Choose the Text – Delimited File Type

3. Find the file you saved in the previous step by browsing to the File Name and Location with the square button.

4. Click the Next Button

5. Click Contact records only

6. Click on the Options button

7. Choose Tab and make sure the Yes box is checked

8. Click OK and then the Next button

9. Make sure “Don’t use predefined map” is checked and click on the Next button

The fields on the left are the data from your Albridge Solutions export and the fields on the right are the fields available within Act4Advisors. If the fields on the right are blank, click inside the blank area and choose the data field that should be mapped to the corresponding data.

10. Click on the Finish button and your data will be imported into Act4Advisors.

Note: During the import process, you may get an ACT! message that the displays that you have a matched record. You will have to opportunity to Merge the record, Add it as a unique contact or Skip the record entirely. We recommend you choose the Add button unless you are completely sure of the other two. You can always remove the record later if you need to.
